Best business phone systems for sales teams: how the main options compare
By the CallRoute team · · Updated
For a sales team, the phone system is part of the pipeline. A missed callback is a lost deal, a forgotten promise is a lost deal, and a rep who spends twenty minutes logging calls is selling twenty minutes less. There are many good business phone systems, and the right one depends on how your team sells. This guide starts with the criteria, then gives a fair look at the big names, including where CallRoute fits and where it does not.
What matters for sales teams
| Criterion | Why it matters | What to check |
|---|---|---|
| A number per rep | Prospects call back the person they spoke to | Is a number included per user? Local or toll-free? |
| Texting | Many prospects reply to a text before they answer a call | Two way texting, templates, scheduled texts, carrier registration help |
| Recording and AI summaries | Coaching and accurate follow ups | Which plan includes recording, transcripts and summaries |
| CRM logging | Reps sell instead of typing notes | What is logged automatically, and to which CRM |
| Dialer workflows | Volume for outbound teams | Power or parallel dialers, call lists, dispositions |
| Analytics | See activity and response times | Per rep views, busiest hours, export |
| Pricing and minimums | Cost per rep and room to grow | Seat minimums, annual contracts, add-on prices |
| Set up time | How fast a new rep can sell | Self serve or sales-led, browser and mobile apps |
The main options, compared fairly
These summaries are conservative and based on how each provider positions its product. Features and prices change often, so confirm current plans on each provider's site before you decide.
RingCentral
A full unified communications suite with phone, video meetings, messaging, desk phone support and a long list of options. A strong fit for larger organizations that want one vendor for every kind of communication. Setup is often guided by an implementation team, and AI answering is sold as an add-on. In November 2026, RingEX was listed at $30, $35 and $45 per user per month billed monthly, or $20, $25 and $35 billed yearly. Coaching, call scoring and sentiment come from its AI Conversation Expert, an add-on from $60 per user, and managers can monitor, whisper and barge from the mobile app as well as the desktop. See CallRoute vs RingCentral.
Dialpad
An AI-first phone system with live transcripts and call summaries built in. For sales floors, Dialpad sells a separate product, Dialpad Sell, with a power dialer, real time coaching cards, local presence dialing, voicemail drop and scorecards. As of November 2026, Sell Essentials is $49, Advanced $70 and Premium $95 per user per month billed monthly, or $39, $59 and $79 billed yearly, and Premium is sold yearly only. The plain phone plans, Connect Standard and Pro, start at $27 monthly or $15 yearly. A good choice if live coaching across every call is your top priority. See CallRoute vs Dialpad and Dialpad pricing explained.
Aircall
A cloud call center tool built around sales and support desks. In November 2026, Essentials was $38 and Professional $63 per user per month billed monthly, or $30 and $50 billed yearly, with a three license minimum, and AI call summaries are a paid add-on. Worth a look for structured teams that run like a desk, with calls first and messaging on top. See CallRoute vs Aircall.
JustCall
A cloud phone and texting tool built for sales and support teams, with Team at $29, Pro at $49 and Pro Plus at $89 per user per month billed yearly when we checked in November 2026. Self serve plans have a two seat minimum, and AI summaries come on higher plans or as an add-on. See CallRoute vs JustCall.
CloudTalk
Call center software for sales and support desks, with AI features sold as add-ons and separate plans. A fit for teams that want call center workflows without an enterprise contact center. See CallRoute vs CloudTalk.
KrispCall
A cloud phone and texting app aimed at growing sales teams and call centers, with numbers in more than 100 countries. In November 2026, Starter was $15, Advance $40 and Max $60 per user per month billed monthly, or $12, $32 and $48 billed yearly. The sales tools sit on Advance and up: a power dialer, bulk texting, call recording and Salesforce, with 1,000 outbound and 1,000 inbound minutes per user included. Call listening, whispering and barging come on every plan. Starter caps you at 5 users and Advance at 50, and AI call summaries are an add-on. See CallRoute vs KrispCall.
Quo (formerly OpenPhone)
The app that made the modern business phone popular, renamed from OpenPhone to Quo in 2025: a clean experience for calling and texting from a business number, with its Sona AI agent on every plan and call recording and AI summaries from the Business plan. Its plans were $19, $33 and $47 per user per month billed monthly, or $15, $23 and $35 billed yearly, in November 2026. A good fit for teams that want simplicity over call center features. See CallRoute vs Quo.
Nextiva
A broad communications platform with phone, video, chat and contact center tools. Suits businesses that want several communication tools from one vendor, with AI summaries on the top business plan. See CallRoute vs Nextiva.
8x8
An enterprise communications and contact center platform sold mainly through its sales team, with pricing by quote. A fit for large organizations with complex requirements and procurement processes. See CallRoute vs 8x8.
Zoom Phone
Calling inside the Zoom meetings and collaboration suite. The obvious choice to evaluate if your team already runs on Zoom and wants one app for meetings and calls. See CallRoute vs Zoom Phone.
Vonage Business
A long running business phone service with desk phones, video and team chat. Call recording sits on the Advanced plan. A fit for teams that want traditional phone system features from an established provider. See CallRoute vs Vonage.
Grasshopper and Google Voice
Both are simpler tools. Grasshopper is a virtual number that forwards calls to the phones you already have, and Google Voice is a phone add-on for Google Workspace. They can work for a solo seller, but most sales teams outgrow them once they need recording, team visibility or CRM logging. See CallRoute vs Grasshopper and CallRoute vs Google Voice.
CallRoute
A browser-first business phone at $32 per user per month on Business and $49 on Business Plus, billed monthly, where every rep gets their own number and extension, and every call, text and voicemail sits in one inbox. On both plans, calls can be recorded with transcripts and AI summaries with action items. On Business Plus, texts can be scheduled, analytics cover each teammate, and calls and texts are logged to HubSpot or GoHighLevel. Live call translation is paid per minute from a wallet, and the AI receptionist picks up the calls reps miss. CallRoute does not have a power dialer or desk phone support, so very high volume cold calling teams are better served by a call center tool. See CallRoute for sales teams.
Which kind of tool fits which team
| Your team | Look closely at |
|---|---|
| High volume outbound, call lists and dispositions | Call center tools such as Aircall, JustCall, KrispCall and CloudTalk |
| Enterprise with video, desk phones and procurement | Suites such as RingCentral, 8x8, Nextiva, Zoom Phone and Vonage |
| Live coaching and a power dialer across a sales floor | Dialpad Sell and the AI tiers of the suites |
| Reps working a pipeline by call and text, from any size team | Business phone apps such as Quo (formerly OpenPhone) and CallRoute |
| A solo seller who needs a second number | Simpler tools such as Grasshopper or Google Voice |
How to run a fair trial
- Pick two or three finalists based on your motion, not on a feature checklist.
- Give each to two reps for a week. Real calls tell you more than any demo.
- Test the follow up. After a call, how long until the notes are in the CRM and the next step is clear?
- Text from it. Check that carrier registration is guided and that texts actually arrive. Our A2P 10DLC guide explains why this matters.
- Price the real bill. Seats, numbers, add-ons, minimums, contract length and usage beyond the plan.
- Check the exit. Make sure you can port your numbers out later. See our porting guide.
