The AI receptionist

Instead of voicemail, an AI voice answers when you are closed or nobody picks up, helps with simple questions, and takes a message for your team.

The AI receptionist replaces voicemail on the calls you choose. It greets the caller, answers simple questions using only what you tell it about your business, and takes a message with the caller's name, what they need and a number to call back. It says it is a virtual assistant if asked, and it cannot book, transfer or connect calls.

Turn it on

  1. Select Numbers, then Call handling next to the number.
  2. In the AI receptionist card, tick one or both:
    • When you are closed answers outside your business hours and on closed days. It needs business hours or closed days set on the same page.
    • When nobody picks up answers when the number's owner misses a call.
  3. Fill in About your business. This is the only thing the AI answers from.
  4. Select Save.

What to write in About your business

Add what callers ask most: what you do, your prices, your address and how to book. Plain sentences work best. For example:

If a caller asks something that is not there, the AI says it does not know and that the team will follow up. It never invents prices, availability or promises. You can write up to 4,000 characters. If business hours are on, the AI also knows your opening hours.

Where messages go

  • Into the caller's conversation in your Inbox and on the Calls page, marked as answered by the AI receptionist. You see the caller's Name, what it is About, the number to Call back on, and a short summary.
  • Urgent calls are flagged Urgent. If it sounds dangerous, the AI tells the caller to contact emergency services.
  • By email to the person the number belongs to. If nobody owns the number, owners and admins get it.
  • Select the Call button under the message to call the person back from your business number.

The voice it uses

It speaks in the voice picked in Voice at the top of the Call handling page. If you use the standard phone voice, it uses a warm AI voice instead.

What it costs

  • The Scale plan includes 100 AI receptionist minutes per user each month, pooled across your team.
  • Beyond that, and on Starter and Pro, it is $0.25 a minute from your wallet.
  • If the wallet is empty, callers get your normal voicemail instead, so no call goes unanswered.

On Pro and Scale, Analytics shows how many calls the AI answered, how long it spent on them, what it cost, and how many it marked urgent.
