Business hours and closed days
Tell each number when you are open. Outside those hours, and on holidays you mark as closed, callers go to voicemail or the AI receptionist.
Business hours and closed days live on each number's Call handling page. Open it from Numbers by selecting Call handling next to the number.
Set your business hours
- Tick Business hours.
- Pick your Time zone. Hours always follow this zone, wherever your team happens to be.
- For each day you are open, tick the day and set the opening and closing time. A newly ticked day starts at 9 am to 5 pm. Leave a day unticked to show Closed.
- Write the After hours greeting, or switch to Use a recording. It plays before the voicemail tone. Leave it empty to use the example shown in the box.
- Select Save at the bottom of the page.
During open hours, calls follow the rest of the page: your call menu if you have one, otherwise ringing the number's owner. Outside them, callers go straight to voicemail, or to the AI receptionist if you turned on When you are closed.
Add closed days
Closed days are for holidays and other days off. They work even if business hours are off, so you can use them on their own.
- In Closed days, select Add closed day.
- Give it a Name, for example Thanksgiving, and set From and To. For a single day, use the same date in both.
- Tick Every year on these dates for holidays that fall on the same date each year.
- Optional: write a Greeting for this day, such as: Happy holidays. We are closed today and back tomorrow. Leave it empty to use your after hours greeting.
- Select Save.
Select Remove next to a closed day to delete it. You can keep up to 40 closed days on a number. If business hours are off, the time zone picker appears in this card instead, so your closed days still start and end at your local midnight.
Where closed calls go
- Voicemail, by default. The caller hears your closed day greeting or after hours greeting, then leaves a message. See Voicemail and greetings.
- The AI receptionist, if you tick When you are closed in the AI receptionist card. It answers questions from what you wrote about your business and takes a message. See The AI receptionist.
Tips
- Say when you reopen in your after hours greeting. Callers are far more likely to wait for a call back.
- Add next year's closed days in one sitting at the end of the year so nobody forgets.
- Each number has its own hours. If several teammates keep the same hours, set them on each of their numbers.
